By renting from Ivy Grove Rentals, you agree to the following terms and conditions:

Payments

We offer two payment options: Pay in full upfront. OR third-party payment provider to split your payments.

A retainer of at least 25% of the total balance is required to secure your order. This retainer is deducted from your final balance.

The remaining balance is due in full at least 30 days prior to your event. If payment is not received by this deadline, your rental will be canceled at Ivy Grove Rentals’ discretion. If we determine your rental can still be fulfilled after this date, a 10% late fee will be added to the balance due, plus an additional 10% per week until the balance is paid. Any additional costs incurred due to late payment will also be passed on to you.

If you add items to your order within 30 days of the event, they must be paid for within 24 hours. Availability of matching styles cannot be guaranteed, but we will match the color and style as closely as possible.

Floral Disclaimer

Our floral arrangements are a hybrid of high-quality artificial flowers and fresh florals. While some flowers may be named after real varieties, they are not all real flowers but a mixture of fresh and premium silk replicas.

Substitutions

Ivy Grove Rentals reserves the right to substitute flowers or décor if the originally planned items are unavailable or do not meet our quality standards. We will maintain the integrity of your color scheme and design. If any dyed florals are used, we will inform you, but we are not liable for staining on garments.

Adjustments & Order Changes

Adjustments can be made until the final balance is paid. Large additions or subtractions are allowed up to the balance due date. A minimum payment of 85% of the original invoice is required, regardless of order reductions.

Pricing & Additional Fees

For rentals that include custom fresh flowers, prices are subject to market fluctuations. If prices increase, the additional cost will be passed onto the customer. We will notify you as soon as possible, and payment for the price adjustment will be due within 30 days of the event.

Delivery & Setup

Pricing includes one setup/location only.If rental items need to be moved from the ceremony to the reception (or elsewhere), additional moving/setup fees will apply.

Our arches, pillars, and backdrops are large and may require disassembly for transport. Only Ivy Grove Rentals’ team or a pre-approved industry professional may move them.

Delivery & Pickup Details

Orders include delivery, setup, and pickup within 25 miles of our warehouse. Pickup time is no later than 10:00 PM.

Late-night pickups incur additional fees:

10:00 PM: $100

10:30 PM: $150

11:00 PM: $200

11:30 PM: $250

12:00 AM: $300

Deliveries outside of 25 miles are subject to an additional $1/per mile up to 75 miles. Please contact us for a custom quote for ceremony and reception relocation. 

Product Handling & Liability

No rentals can be left outside overnight. This includes all arches and floral arrangements. Arches cannot be exposed to rain. If rain is expected, we may retrieve the arch early.           No one may transport, take down, or move our rentals without prior written approval.Damages beyond normal wear will result in a charge of 3x the rental price. Unreturned items will be charged at 5x the rental price, and you may keep the item.

Your credit card information is securely stored and will be deleted once items are returned in good condition.

Décor Coordination

All additional décor must be communicated to Ivy Grove Rentals to ensure a cohesive look. We are not responsible for decor provided by third parties, even if integrated with Ivy Grove Rentals’ items.

Venue & Location Limitations

Some venues have restrictions on size, setup, or décor. Please verify that our rentals will fit in your space. We are not responsible for venue-imposed limitations that result in unused rentals. No refunds will be issued for such cases.

Cancellations & Refunds

Cancellations require at least 90 days' notice for a partial refund of the retainer. Within 90 days of your event, retainers are non-refundable but can be transferred to a new date in cases of war, fire, tragedy, pandemic, natural disaster, or other emergencies. Refunds do not include payment processing fees, time spent on proposals, consultations, or banking fees.

Ivy Grove Rentals reserves the right to cancel any contract if we determine our obligations cannot be met. If this occurs, we will issue a refund minus any costs incurred up to that point.

Dispute Resolution

Any disputes arising from this contract shall be settled through arbitration by the American Arbitration Association in accordance with its Commercial Arbitration Rules. Arbitration will take place in Illinois before a single arbitrator.
